PRIVACY POLICY

This working draft describes the current landing page and checkout flow. ScribeWorks should confirm its complete vendor and data practices with qualified counsel before public launch.

1. Overview

This Privacy Policy explains how ScribeWorks (“ScribeWorks,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information in connection with The Welcome Sequence landing page, checkout, and service. It also explains the choices available to you.

2. Information we collect

Information you provide

Depending on how you interact with us, we may receive:

  • Your name, email address, and other contact details;
  • The name and website of your church, ministry, or organization;
  • Links to social media, YouTube, or other public material;
  • Your goals and answers submitted through the order or intake form;
  • Past emails, sermon transcripts, website copy, and other voice samples;
  • Project feedback, correspondence, and revision requests; and
  • Transaction details, such as the product purchased, price, and payment status.

Payment-card and bank information is entered through Jotform and its payment providers. ScribeWorks does not need or request your full payment-card number.

Information collected automatically

When you visit the landing page, the hosting provider and related technical services may automatically process limited device and usage information, such as IP address, browser type, device type, pages requested, timestamps, referring page, and security logs. Campaign parameters in the page address, such as UTM tags, may be carried to checkout when you click an order button.

3. How we use information

We may use personal information to:

  • Process and administer your order;
  • Understand your ministry, audience, voice, and project goals;
  • Write, deliver, and revise The Welcome Sequence;
  • Communicate about the project, support, billing, and service updates;
  • Maintain business, tax, and transaction records;
  • Protect the site, checkout, clients, and ScribeWorks from fraud or abuse;
  • Comply with law and enforce agreements; and
  • Improve our services using aggregated or de-identified observations.

[NEEDED] Confirm whether any artificial intelligence service processes client intake answers or voice samples, and add the actual provider, purpose, retention, and training settings before public launch.

4. How we disclose information

We may disclose personal information to:

  • Service providers that support checkout, payment processing, hosting, email, file storage, security, accounting, or project delivery;
  • Professional advisers such as lawyers, accountants, or insurers;
  • Government authorities or other parties when reasonably necessary to comply with law, protect rights or safety, or investigate fraud; and
  • A successor or participant in a merger, financing, acquisition, reorganization, or sale of business assets, subject to appropriate safeguards.

[NEEDED] Confirm whether ScribeWorks sells, shares, or uses personal information for targeted or cross-context behavioral advertising. The final Policy must describe the actual practice and any required opt-out.

5. Jotform and other third-party services

The order button sends you to a form hosted by Jotform. Jotform may process form responses, technical information, and payment-related information under its own policies. Review the Jotform Privacy Policy before submitting information. A payment provider selected within Jotform may also apply its own privacy policy and terms.

The landing page may link to other websites. ScribeWorks is not responsible for the independent privacy practices of third parties.

6. Cookies, analytics, and tracking

As of the date above, this landing page does not intentionally use advertising pixels or non-essential analytics cookies. Essential hosting, security, or network technologies may still process technical information needed to serve and protect the site. Jotform and payment providers may use their own cookies and similar technologies after you visit their services.

Because no cross-site advertising system is currently configured on this landing page, it does not respond to browser “Do Not Track” signals. If analytics or advertising tools are added later, this Policy and any required consent controls should be updated first.

7. Data retention

ScribeWorks retains personal information only as long as reasonably necessary for the purposes described in this Policy, including service delivery, revisions, client support, legal compliance, dispute resolution, and business records. Retention periods vary by the type of information and applicable law. Information that is no longer needed may be deleted, anonymized, or securely archived.

8. Security

ScribeWorks uses reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information. No internet transmission or storage system is completely secure, so absolute security cannot be guaranteed. Please do not send passwords, full subscriber lists, payment-card data, protected health information, or unrelated sensitive data.

9. Your choices and privacy rights

Depending on where you live and the law that applies, you may have the right to ask for access to, correction of, or deletion of personal information; request a portable copy; restrict or object to certain processing; or withdraw consent where processing relies on consent. You may also opt out of marketing emails using the unsubscribe link in the message or by contacting ScribeWorks.

To make a request, email ethan@scribeworks.us. ScribeWorks may need to verify your identity and may retain information when permitted or required by law. You will not be discriminated against for exercising an applicable privacy right.

10. International visitors

ScribeWorks and its service providers may process information in the United States or other countries whose privacy laws differ from those where you live. Where required, appropriate measures should be used for international data transfers. Organizations subject to specialized international requirements should contact ScribeWorks before submitting sensitive project material.

11. Children's privacy

The landing page and service are intended for adults acting for churches, ministries, businesses, or other organizations. ScribeWorks does not knowingly collect personal information from children under 13 through this offer. If you believe a child submitted personal information, contact ScribeWorks so it can be reviewed and deleted where appropriate.

12. Changes to this Policy

ScribeWorks may update this Policy as its services, vendors, or legal obligations change. The “Last updated” date will be revised, and material changes may be communicated by an additional notice when appropriate.
